Client Service Coordinator

Service Coordinator: Coordination of internal and external client service requests. Administrative duties as described in responsibilities.

Essential Duties:

- Always provide excellent client service to all internal and external clients

- Answer telephones and email messages in friendly, professional manner

- Monitor phone lines and help the next call in the queue

- Receive and convey important information in a timely fashion

- Process, schedule and follow up on Quoted jobs from the time they are routed until they are sent to billing

- Process, schedule and follow up on maintenance contract inspections

- Process daily and weekly time for Field Technicians

- Ensure by the end of the day that each technician is informed of their schedule for the following day

- Utilize all functions within Wennsoft and Procore systems

- Monitor and respond to all email and voicemail messages received by Command Center and yourself in a timely fashion

- Assist outside Field Team Leaders, Field Technicians, updating contract obligations maintaining their schedules; supplying purchase orders for supplies/ parts ordered and process of time packets

- Other duties as assigned


- High School diploma or equivalent experience and education required

- 2 years of administrative and client service experience

- Dispatch experience is a plus

- Strong computer skills, proficient in MS Office including Word and Excel

- Punctual, multi-tasker, reliable, self-starter, organized, detail oriented

- Strong client service and time management skills, team player, works well with others, friendly

- Excellent communication and phone skills, motivated, takes initiative

- Works well under pressure and deadlines

- Able to be seated in office setting for long periods of time
